Choosing between your final venue options

How to compare your final three wedding venues together

A scorecard for real finalists, with essentials checked before you let attractive photographs sway the result.

You have three promising wedding venues, written replies and enough information to compare them. Now the question is which option best fits the day you both want. A scorecard helps make that conversation explicit, especially when each partner is attached to a different place.

Use this after the research, not instead of it. An unknown price, unconfirmed capacity or unavailable date should not become a confident score because you like the photographs.

Check essentials before assigning scores

  • Date: the venue has confirmed the date or date window you can accept.
  • Capacity and access: the ceremony, meal and backup fit your group and essential access requirements.
  • Money: the complete quote and compulsory commitments fit the ceiling you agreed.
  • Terms: the booking, supplier restrictions and payment schedule are acceptable to both of you.

Mark any unanswered essential as ‘pending’ and follow up. Remove an option that definitely cannot meet an essential. A high atmosphere score should not compensate for a venue that cannot hold the wedding.

Agree the weights before scoring the venues

Choose criteria from your shared brief and weights adding to 100. The worksheet starts with cost fit 30, atmosphere 25, guest experience 20, backup plan 15 and organising workload 10. These are suggested weights, not a universal formula. Change them together before scoring.

Download the editable final-three venue scorecard (CSV)

Score each criterion from 1 to 5, where 1 is a weak fit and 5 is a strong fit. Write the evidence beside the score: a confirmed quote, layout, viewing note or supplier reply. Leave uncertain scores blank. The CSV withholds totals until five numeric scores are entered and flags weights that do not sum to 100.

Multiply each weight by its score, add the results and divide by five. Venue A totals (30 × 4 + 25 × 5 + 20 × 3 + 15 × 2 + 10 × 4) ÷ 5 = 75. B scores 79 and C scores 73 under these example priorities. B’s result is a prompt to discuss its strengths, not an instruction to book it.

Use disagreements to find the question still unanswered

Score separately first, then compare. If one partner gives the guest experience a 2 and the other a 5, ask what each score is based on. One may be thinking about the meal while the other is worried about the return journey. Resolve that difference with evidence or by splitting the criterion.

Check whether a small change to a weight reverses the result. If two venues remain close, treat them as close rather than pretending the spreadsheet settles everything. Identify the one question or viewing detail most likely to change your choice.

Record the decision and confirm the booking

Write why you chose the venue, which compromises you accept and what still needs confirmation. Ask for the final quote and contract covering the agreed arrangement. A scorecard does not secure the date, and a previous availability reply may need refreshing before payment.

Turn your shared brief into three venue options

For a one-off R299, Vowspan personally researches three real Western Cape venues around both partners’ preferences and shared wedding brief. We contact venues for pricing, so you don’t have to.

Confirm final availability, inclusions and booking terms directly with the venue. The shortlist does not reserve a date.
