Comparing Western Cape venue quotes

How to compare wedding venue quotes without missing the extras

A blank comparison worksheet and a worked example for understanding what each quote actually buys.

One wedding venue quotes a hire fee. Another quotes a price per guest, and a third bundles food and coordination. The amounts cannot be compared fairly until they describe the same celebration.

Use this worksheet after you receive written quotes. Keep every source document and the date it expires. A blank line means you still need an answer, not that the item is free.

Write the common brief above the numbers

Use the same date or date window, adult and child counts, ceremony, meal format, celebration hours and dance-floor requirement. Include supplier meals and any overnight rooms you must book. If one venue quotes a different arrangement, label the difference before calculating totals.

Put every required item in one comparison

Download the venue quote comparison worksheet (CSV)

The CSV has amount columns for three venues and a notes column for scope, quote validity and unanswered questions. Enter zero only when an item is confirmed included or free. The total stays incomplete until every cost row has a number. Do not put a deposit in those rows if it is already part of the quoted price.

A lower hire fee can become a larger bill

Here is an invented example for the same group: Venue A charges R20,000 hire, R30,000 catering and R8,000 in required extras, making R58,000. Venue B quotes R54,000 including those same services. A’s smaller hire figure does not make its complete quote cheaper. These figures illustrate the calculation only.

The comparison is still incomplete if B excludes something A includes. Add the cost of matching that service, or mark it unresolved and ask for a revision. Avoid assigning a guessed price to an unknown item and treating the result as a confirmed total.

Look for exclusions in the official scope

Welgemeend’s FAQ says staff hours are excluded from venue hire, while its wedding package describes a different set of inclusions. Rondekuil’s self-catering arrangement specifies conditions for off-site food preparation and the facilities available. These are examples of why the chosen option matters, rather than universal rules for every venue.

Check Welgemeend’s hire FAQ and Rondekuil’s catering arrangements. Official information checked on 14 October 2026.

Keep a separate payment calendar

If an invented R54,000 quote asks for an R18,000 deposit, the unpaid balance is R36,000. The total remains R54,000, not R72,000. A separately refundable breakage deposit affects the cash you need upfront but should be tracked separately from the expected event expense.

  • Record the booking payment, balance and dates due, and check that confirmed contributions arrive in time.
  • Ask how the total changes if the final guest count rises or falls.
  • Keep booking cancellation, accommodation cancellation and refundable security deposits in separate notes.
  • Request one revised quote resolving exclusions before comparing your final options.

Compare the complete cost, then the fit

Once you have three comparable totals, rule out anything above your ceiling or missing an essential. Then compare the atmosphere, guest experience and work you would need to organise. The cheapest complete quote is useful information, but it does not answer every question about the day.

Turn your shared brief into three venue options

For a one-off R299, Vowspan personally researches three real Western Cape venues around both partners’ preferences and shared wedding brief. We contact venues for pricing, so you don’t have to.

Confirm final availability, inclusions and booking terms directly with the venue. The shortlist does not reserve a date.
