Your first wedding venue enquiry
A wedding venue enquiry email that gets the important questions across
A first-enquiry template and a shorter follow-up for the information still missing from a reply.

A useful wedding venue enquiry email gives the venue enough detail to check the right date, space and package. It does not need your entire wedding story. Start with the practical brief, then ask the questions that affect whether the option can work.
If the venue has a required enquiry form, use it and include the same information in its message field. Official forms can ask for different details; this template is a starting point rather than a promise of how quickly any venue will respond.

For a one-off R299, Vowspan personally researches three real Western Cape venues around both partners’ preferences and shared wedding brief. We contact venues for pricing, so you don’t have to.
Confirm final availability, inclusions and booking terms directly with the venue. The shortlist does not reserve a date.

Subject: Wedding enquiry for [date or date window], [adult count] adults and [child count] children
Hello [venue team], we are considering your venue for our wedding. Our preferred date is [date], with flexibility for [alternative dates or weekdays]. We expect [adults] adults and [children] children, plus [supplier meals if known].
We would like [ceremony format], followed by [meal format] and [dancing or other activities]. Our preferred event hours are [hours]. The things that matter most to us are [two or three essentials].
Our venue, food and drinks budget is [amount or range], including required services and applicable taxes. Please let us know whether that is realistic for the format described, and identify any compulsory items outside it.
Could you confirm whether our date is available, which ceremony and reception spaces suit the group, and the indoor or sheltered alternative? Please send your current package or an itemised quote showing hire, catering, drinks, staff, furniture, service charges and required extras.
We [do/do not] need overnight accommodation for about [number] guests. Please identify any compulsory rooms or minimum nights. Please also send the booking payment, balance deadlines and change or cancellation terms.
We have [access or dietary requirements relevant to the venue]. Could we arrange a viewing once you have confirmed the format is possible? Thank you, [first name and preferred reply contact].

Share the information that affects the quote
Keep the adult and child counts separate, and distinguish overnight guests from wedding attendees. Say whether your amount covers hire alone or the whole venue-and-reception plan. State date flexibility explicitly so the team does not guess it from a vague phrase like ‘next summer’.
Avoid attaching guest contact lists, identification documents or private family information to a first enquiry. Explain the access requirement itself without giving unnecessary personal background. If a later booking needs more information, confirm the appropriate process with the venue.
Check the venue’s own enquiry process
Greenhaus’s official venue-hire page asks for the date, estimated number, event type and level of exclusivity, and explains that availability is confirmed through the enquiry process. This is why specifying a private section versus exclusive hire can matter as much as your guest count.
See Greenhaus’s official enquiry requirements. Checked on 14 October 2026. Do not assume other venues use the same response days or booking process.
Use a short follow-up for the missing details
Hello [team], thank you for the information. Before we compare the quote, could you confirm [missing space or inclusion], [full cost including a specified extra] and [weather or accommodation question]? Please keep the quote based on [date], [count] and [format] so we can compare the same celebration.
Save the reply with the date and scope
Record the quote validity, named spaces, unanswered questions and next step. An enquiry reply saying a date is open is not a reservation. Ask what is required to secure it, read the agreement and compare the complete quote before paying.
