Questions to ask a wedding venue before you book
The questions that help you see whether a venue works for your guests, your budget and the day you both want.

The most useful questions to ask a wedding venue are the ones that tell you whether your day will actually work there. A beautiful view matters. So do the room your guests will sit in, the costs you cannot avoid and what happens if it rains.
Start with the decisions that could rule a venue out. You can talk about flowers and table settings once you know it suits your guest count, budget and the kind of celebration you both want.
Want a shortlist to take these questions to?
For a one-off R299, Vowspan personally researches three real Western Cape venues around both partners’ preferences and shared wedding brief. We contact venues for pricing, so you don’t have to.
Share your guest count, budget and practical needs before deciding which venues to explore. Confirm final availability, inclusions and booking terms directly with each venue.
Start with your date and guest count
Give the venue your likely number of guests and your preferred date or month. If you are flexible, say which days you could consider. Ask for a quote for the year you plan to marry, rather than relying on an older brochure.
- Is our preferred date available, and how long can you hold it while we decide?
- What is the minimum number of guests we must pay for?
- How many people fit comfortably for a seated meal with a dance floor?
- Can the ceremony and the wet weather option accommodate that same number?
A maximum capacity does not tell you how the room will feel. Ask to see a floor plan for a wedding close to your size. If you are planning a smaller celebration, our guide to small wedding venues in Cape Town shows why ceremony and reception limits are worth checking separately.
Ask what the full quote includes
Ask the venue to separate compulsory costs from the extras you can choose. This is especially useful when one quote includes furniture and staff while another lists only the hire fee.
- Does the quote include VAT, furniture, tableware, setup, cleaning and service staff?
- Are the ceremony space and reception space charged separately?
- Is there a minimum spend on food or drinks?
- Which charges could still be added, including overtime or outside supplier fees?
There is a practical reason to ask. Welgemeend’s venue FAQ lists staff hours separately from venue hire. That is the sort of detail that can change a comparison. Check the arrangement in your own written quote, because packages and hire options can differ.
Our guide to affordable wedding venues in Cape Town looks more closely at comparing the total cost.
Find out whether accommodation is compulsory
An overnight stay can make the celebration easier for guests travelling from further away. It can also be a booking condition, even if you originally wanted only a venue for the day.
- Must we book accommodation to use the venue, and for how many nights?
- Which rooms are included, and who is responsible if guests do not book them?
- Can guests pay for their own rooms directly, or does the couple need to cover the booking?
Lalapanzi Lodge explains that room bookings can replace a venue hire charge depending on the season and day. Confirm the exact arrangement before deciding that a venue has no hire cost.
See the plan for wind and rain
If you love an outdoor ceremony, ask to see where it would move in bad weather. Walk through that space too. You should feel comfortable getting married there, rather than hoping you will never need it.
- Is the backup space reserved for us and included in the quote?
- Would moving indoors change our layout, guest capacity or timing?
- Who decides when to move the ceremony, and when must that decision be made?
- Would we need to hire a tent, flooring or heaters separately?
Check food, drinks and supplier rules
Mention anything essential early, such as Halaal catering, allergies or a caterer you already want to use. Ask how the venue would accommodate it and whether there is an extra charge.
- Must we use your caterer and bar, or can we bring our own?
- Are tastings included, and when do we need to confirm the menu and final numbers?
- Are there corkage, kitchen hire or outside supplier fees?
- Who will coordinate the venue team on the day, and what will we need to organise ourselves?
If you are considering a package, our guide to all inclusive wedding packages in the Western Cape explains how to check the included services and their limits.
Walk through the day from arrival to leaving
Imagine your guests arriving, finding their seats and getting home afterwards. Ask about the things that matter to your particular group, especially if anyone needs step free access or a shorter walk.
- Is there a step free route between parking, the ceremony, reception and accessible toilets?
- What time can our suppliers arrive, and when must everything be cleared away?
- When must music stop, when does the bar close and when must guests leave?
- Is there backup power for the parts of the day that need it?
- Where can guests park, and can a shuttle collect people safely?
Ask for the actual finishing times rather than just whether dancing is allowed. Welgemeend’s published venue rules distinguish between the bar closing, music stopping and guests leaving. Your venue may have its own timings.
Get the important answers in writing
Before paying, check that the proposal names your date, spaces, guest count and agreed inclusions. Ask for the payment schedule and the cancellation or date change terms, including what happens to money already paid. Have the venue explain anything you do not understand before you accept.
Keep a short note after each viewing. Record what you both liked, what did not work and which answers you are still waiting for. You do not need to decide on the spot.
For an outdoor setting, the beach venue guide distinguishes ceremony access from a sea view. The forest venue guide compares actual woodland settings and covered alternatives.
Use the wedding budget worksheet to agree your ceiling before sending enquiries. For a northern-suburbs search, the Durbanville guide gives local examples to explore with these questions.
