Planning an outdoor Western Cape wedding
An outdoor wedding rain backup that works for your whole guest list
A named space, a confirmed layout and a decision process make the backup more useful than ‘we’ll move inside’.

An outdoor wedding rain backup needs more detail than an indoor room somewhere on the property. It must hold your guests, work with the reception setup and be available at the time you would need it.
Choose the alternative before booking, then write down who decides to switch and what suppliers change. This guide provides a planning sheet, without predicting the weather or assuming a particular season guarantees an outdoor ceremony.
Want help with your venue search?
For a one-off R299, Vowspan personally researches three real Western Cape venues around both partners’ preferences and shared wedding brief. We contact venues for pricing, so you don’t have to.
Confirm final availability, inclusions and booking terms directly with the venue. The shortlist does not reserve a date.
Start with a named, reserved space
Ask to see the indoor or sheltered alternative with your actual guest count. Include the aisle, chairs, microphones, musician or officiant space, accessible seating and any tables already required for the reception. A standing capacity does not confirm a seated ceremony or dinner layout.
Check whether the same room is needed for both vows and the meal. If it must be turned around, ask where guests wait, who moves furniture and how long the change takes. A workable backup includes that waiting period.
Read official descriptions carefully
The Twelve Apostles Hotel explicitly describes its Fynbos Garden ceremony as weather-dependent. Bon Cap lists an indoor Sunroom as an alternative to garden ceremonies. These published options help you ask specific questions; they do not by themselves reserve a room for your date or confirm your furniture plan.
Read the Twelve Apostles’ wedding details and Bon Cap’s ceremony options. Official pages checked on 14 October 2026.

Choose a deadline that allows the move
Work backwards from guest arrival. Ask how long the venue and each supplier need to move equipment, reset chairs or change service. Agree the latest decision time together. Avoid a deadline that depends on moving a complete ceremony while guests are already arriving.
Check whether the setup can remain flexible until that time. Some structures or hire items need earlier commitment. Record those cutoffs separately, along with any cancellation or extra-hire charge.
Plan for wind, heat and the route too
- Sound and décor: ask which equipment, candles, loose fabrics or flower structures need a different setup in wind.
- Guest comfort: identify shade, water, waiting space and a clear walking route if the outdoor area is unsuitable.
- Power: confirm the actual event equipment is covered, rather than assuming kitchen backup power supplies everything.
- Food and timing: agree where canapés and drinks are served during a room change.
- Photographs: discuss an indoor or sheltered approach with the photographer rather than promising the original outdoor scene.
Choose a venue whose alternative you can accept
Imagine the whole wedding in the backup layout. If it loses an essential, such as accessible seating or enough space for the meal, resolve that before booking. If it simply changes a preferred backdrop, decide together whether you are comfortable with the trade-off.
